Program/Site-Specific Information

SURF

Funding

SURF students receive $600/week. For Caltech students, mentors normally pay half the amount, and the Student-Faculty Programs Office provides matching funds raised from a variety of sources. Mentors will have to bear the full cost for visiting (non-Caltech) students.

Mentor Recommendation Forms

An applicant’s online file contains an electronic application, proposal, and letters of recommendation. Visiting (non-Caltech) student applicant files will also have a transcript. Mentors will have secure, confidential online access to these application parts. Mentors are required to complete an online evaluation of their applicants. Awards will not be made unless these mentor recommendations are submitted. Mentors will be prompted by the SFP Online system to complete this evaluation when the student has submitted his/her application.

Vacation Requests

Students may take vacation time during the summer with the approval of the mentor; however, students must complete all 10 weeks of the program after the end of spring term and before the beginning of instruction in the fall term at Caltech. Students must also inform the Student-Faculty Programs Office of any changes in their schedule.

For questions related to SURF, please contact the SFP Office.

WAVE Fellows

WAVE Fellows receive $600/week. This, along with a $500 travel/housing supplement, is covered by the program.

JPL

JPL Access Requirements

The Education Office will process On-Boarding (badging forms) for all students that come through our office assigning them to the hosting organizations. The Organization will need to approve the requests. The Education Office will maintain communication with the hosting organizations as to what students they should be expecting. The mentor should ensure that communication is kept with their Group Supervisors and Business Administration Managers (BAMs) as to which students they are expecting.

Safety Training Requirements

Education Office processing will require a Safety Hazard Assessment which itemizes the hazards to which the student may be exposed in the course of the project, so that the Occupational Programs Safety Office (OSPO) will be able to schedule the appropriate training courses, if required. The Assessment is done upfront via the online Accouncement of Opportunity process.

The Safety Office will give a general briefing during JPL student orientation, and will provide the student the link for the online training requirement.

Administrative Fee

JPL mentors pay a $1,000 administrative fee to the Student-Faculty Programs Office at Caltech. Mentors will receive instructions for transferring funds to the SFP Office.

Vacation Requests

Students may take vacation time during the summer with the approval of the mentor; however, students must complete all 10 weeks of the program, and all students must complete the ten weeks by the fourth Friday in September. Extensions for badges must be processed by the Education Office.
